The Institute of Highway Engineers (IHE) is seeking an experienced Membership & Professional Registrations Manager

Role Title: Membership & Professional Registrations Manager

Reports to: Chief Executive

Location: London Office, W1W 5DX

Hours: Full time (option to work from home on Fridays)

Role purpose

To manage and administer the membership and professional registration activities of the Institute in accordance with standards approved by Engineering Council. To participate in Joint Board of Moderators (JBM) activity approving and accrediting educational programmes, including college visits and secretariat duties. To assist in the management of day-to-day activities of the London HQ office.

Key functions

  • Administration of the Professional Registration process for members applications to the standards of Engineering Council and the British Computer Society
  • Administer the participation of the Institute in JBM activities including college visits and preparation of papers and reports including travel to Colleges across the UK
  • Review and update of the Institute’s Professional Registration materials, processes and documents in line with revised Engineering Council standards
  • Maintain the membership database and subscription records
  • Undertake assessment of new membership applications in accordance with agreed criteria
  • Provide detailed responses to members regarding Career Assessment requests for Professional Registration
  • Supervision and development of Membership Officer and Registrations & Qualifications Officer
  • Responsible for the annual process of subscription collections
  • Manage the annual internal and external audit of Professional Registration applications
  • Manage the annual CPD audit of members
  • Timely completion of the annual Engineering Council data reconciliation
  • Ensures that office systems operate in an efficient manner and are maintained or improved to meet performance criteria

Decision making

  • The job holder will report to the Chief Executive
  • The job holder will liaise, assist and cooperate with IHE’s Membership and Qualifications portfolio group and other staff members as required
  • Overall, the job holder will work in accordance with IHE’s established procedures and guidelines

Impact and authority

  • The job holder will have responsibility for managing member’s Professional Registration, CPD and training records
  • The job holder will be responsible for managing the membership database, collection of annual subscriptions and members queries
  • The job holder will supervise Membership Officer and Registrations & Qualifications Officer members of staff

Knowledge, Skills and Experience

  • Knowledge and experience of the workings of a membership or professional body (essential)
  • Knowledge of the Highways Industry (desirable)
  • Knowledge of Engineering Council standards (desirable)
  • Knowledge of 3rd level education standards (desirable)
  • Knowledge of general office IT software including Microsoft Office package (essential)
  • Knowledge of database software (desirable)

Skills

  • Demonstrable process management skills
  • Excellent organisational, written and oral communication skills, including experience report-writing and dealing with difficult enquiries
  • The ability to work on own initiative, and to develop good working relationships with stakeholders
  • Accuracy of input and financial acumen
  • Highly numerate, good keyboard & IT skills, detail conscious and well-organised
  • Excellent oral and written communication skills
  • Collaboration

Experience

  • At least 3 years experience in a membership organisation or related role
  • At least 2 years experience of staff supervision including personal development, objective setting and performance management
  • Experience in process management and following standards and measurable guidelines
  • Experience in handling and responding to membership or stakeholder queries
  • Experience of monitoring processes against performance criteria

Flexibility and travel

There will be several days a year where travel away from the office is required for events, employer visits, meetings and the like. These are usually held within the UK.
